Grants for work placement

• Work placement duration 2-5 months
• Students must be insured
• It is not allowed to change company once the placement has started

Erasmus+ work placement grant is not available in these cases: 

• If the student has already participated in an Erasmus+ exchange and/or work placement totaling up to 12 months during the current cycle of study or if the forthcoming placement would exceed the maximum duration of mobility (12 months)
• If the traineeship is from a European Union organization listed on their website or organizations managing EU programs (e.g. National Agencies) 

The final sum of the Erasmus+ grant is defined by two factors: The duration of your placement and your country of destination. 

Erasmus+ grant is paid for the exact duration of your work placement, 5 months maximum. The start date is the day the host institution expects you to be present for the first time. The end date is the last day you need to be present. 

Upon completion of the work placement, the actual duration of your work placement will be verified from the Learning Agreement After Mobility form. If the duration has been shorter or longer than planned, the amount of the grant will be recalculated.

The minimum duration of an Erasmus+ work placement is two months (60 days). If the actual duration of your work placement is less than the minimum duration, the work placement will be considered canceled and the full grant will be refunded. 

The destination countries are divided into two categories based on the level of expenses in the countries as follows:

Travel grant is based on the distance between the home university and the host organisation and it's automatically paid to everyone receiving an Erasmus+ grant.

Note. You can get green travel grant if you travel to the destination in a greener way, such as by bus, train or carpool.

Students who have fewer opportunities to participate in a Work placement abroad and who belong to nationally defined groups can receive a fixed individual support increase of €250 to their normal Erasmus+ grant:

Social obstacles:

• Students with families (children under 18)
• Acting as a family carer (agreement on family care with the municipality)

Migrant background:

• Students who have received international protection (refugees, asylum seekers, those who have received international, temporary or secondary protection, or the student has a refugee travel document)

Disabilities:

• Students with an EU disability card, or the right to it
• Disabled and functionally impaired (at least moderate functional impairment*)

Health obstacles:

• Suffering from serious and/or chronic health problems (at least moderate functional impairment*)

*Moderate functional impairment (disability categories 6—10)

The person is not capable of activities that require constant precision and concentration. The treatment of the disease causes stress and takes time every day, and neglecting the treatment causes a danger to the state of health.

Students with a disability may be eligible for additional financial support. Accessibility grants are intended to enable international mobility in circumstances when an injury, impairment, illness, learning difficulty or other special need causes additional costs which are not covered by other sources. There is an ongoing possibility to apply for accessibility grant but please submit your application at least six months before departure.

If you choose a more green way to travel to destination, you may receive:

• Increased Travel grant
• A maximum of 6 additional travel days

Entitlement to Green Travel Support: 

• You travel to the destination in a green way using a train, bus or carpool.
• Green Travel form and, if necessary, the university may also request travel receipts.

For the green travel support, as well as the fewer opportunities additional support, you will need a declaration form, which must be completed, signed and attached to the grant application. 

If international services need additional clarification for fewer opportunities or for green travel supports, they will contact you by email.

Application process in nutshell 

• When you have found a suitable work placement, please contact your study counselor, competence counseling teacher or degree programmes work placement coordinator to get the placement approved.
• Fill in the necessary attachments to the application:

1. Erasmus+ Learning Agreement for Work Placement

2. Erasmus+ Grant Agreement for Trainees

• Log in to Haaga-Helia Work Placement Portal with your Haaga-Helia credentials to submit the application. Remember to submit the application well before your work placement starts in order to receive the grant in time. Grant cannot be applied afterwards.
• After the work placement: Return the work placement report and placement certificate as well as fill in the EU survey within a month after your placement has ended. Please see the detailed instructions below.

Grants are paid on the 15th of each month. (excluding summer)

• The monthly deadline for application submission is on the 25th day at 23:59
• If you have submitted the application by the deadline the grant will be paid on the 15th of the following month
• If you submit your application after the monthly deadline your grant is paid after two months (e.g. you submit your application on 26.9. the grant is paid on 15.11.) 

Erasmus+ work placement grant is paid in two installments: 

• The first installment (80%) is paid before Work Placement or after we have handled the complete grant application (payment according to the schedule mentioned above)
• The remaining 20% allocation is paid after your placement, when you have returned all necessary documents according to the After the work placement section below 

Summer Schedule

• Grants not paid in July. All grants applied during June-July will be paid in August. 

All Erasmus+ work placement students can do an OLS-language test https://academy.europa.eu/. The OLS-test are available in the following languages: English, Spanish, French, German, Italian or Dutch.

Erasmus+ programme also offers free OLS online courses that are available for all.

Return the following documents within one month after your placement has ended: 

1. Work Placement Report via Haaga-Helia Work Placement Portal
2. Traineeship Certificate/After mobility form from your Learning Agreement, signed certification including the exact dates of the duration of your placement. Email the certificate to grant(a)haaga-helia.fi
   • Please note: If the actual duration of the placement (according to the traineeship certificate) is shorter than planned, the second part of the grant will be amended accordingly.
3. An online EU Survey questionnaire. A link to the survey will be sent to you by email.
